Xerox® Note Converter App

Remember the days before computers?  If you’re a millennial, probably not.  But, for some of us, there was a time when we had to write everything down with pen and paper.  OK Boomer.

Still, even with the ubiquity of “screens” to write on, there are still times when a piece of paper is preferred.  Notes, for example!   And, where are notes more prolific than in the business world, where meeting notes are still a thing!  If I didn’t take notes, I’d forget everything (please reference that Boomer thing).

But, what to do when you need to SHARE your notes?  Enter the Xerox® Note Converter App!  Now available in the Xerox App Gallery, the Note Converter App provides a simple way to convert your notes into an editable (Word) format, allowing you to edit it and share at will!

The truth is that this is not magic, but it is based on Artificial Intelligence from Google.  And, the reality is that AI is not perfect.  Not all writing can be recognized.  The neater the writing, the higher the likelihood of successful conversion.  Rule of thumb:  If a human would have trouble reading it, a computer would have an even harder time!  So, any doctor’s notes are likely to fail.  Similarly, elaborate cursive or script notes are likely to be problematic.  You will find the best results are with block letters written straight across the page, like the Gettysburg Address example above.   Additionally, background images or grids may cause problems.  Page breaks can also be missed.  So, trying to scan two facing pages of an open notebook at once may not work well.  Rather, try scanning one page of that notebook at a time!  The good news is that Google is constantly improving the technology, and those improvements will be automatically available in the app.

Explanation of New Safer Default Password

The default password as we have known it is now a thing of the past.  There seems to be some confusion about the new default password and why you are just now seeing the change. 

A quick explanation of why the change was made, on January 1, 2020 a law in California changed the way passwords are handled for any device connected to the internet.  The new California state law (SB-327) states that manufacturers of any device connected to the internet (IoT-device)  that want to sell their products in California have to equip the devices with “reasonable security feature(s)”.  Manufacturers failing to do so will face enforcement from the California Attorney General and local officials. 

Even if you are not in California you may be impacted by this law.  Manufacturers cannot make this fundamental change to just the products going to California, so the change will be seen everywhere. 

What this means to your Xerox device is that there will no longer be a universal default password as there is now. The 1111 default password that is used on most of the Xerox devices does not meet the regulations in the new law. Going forward the default password for the devices will be the serial number of the machine. The password on most devices is case sensitive, so if your serial number contains letters, please use the correct case. The system administrator should then change the password to something unique and memorable. Be sure to store this new password in a secure location. 

You may have been prompted by the device for this new default password if the software/firmware is updated.  Once an update takes place for whatever reason, including service calls and firmware/software upgrades, the new rules will apply and the new default password for your machine will then be the serial number of the printer.

Instructions for changing the password are found in the online knowledgebase for your printer at www.support.xerox.com. If your machine gets defaulted to the serial number as the password, you should then change it to something else that will be more secure and unique and that you can remember.

Once you change the password from the default, if the new password is lost or forgotten a service technician visit will be required to reset the password to the default.  There is not a way to reset the password remotely.    

The main take away here is that depending on when the device was manufactured or the software/firmware version installed or upgraded, the default administrator password may be the device serial number instead of the original 1111.  Now you know!!

Support Tips and Reminders for Your Xerox Device

In this blog, we look at some tips and reminders for your Xerox printers and multifunction devices.

Unable to Access CentreWare Web Internet Services (CWIS) or Embedded Web Services (EWS)

If you are unable to access or receive an error message when trying to access the web services on your printer try these tips:

  • If an error, such as a 404 error is displayed, try selecting the browser’s Refresh button.
  • Restart the browser and try again.
  • Try using a different web browser. For example, if using Google Chrome, use another browser such as Microsoft Internet Edge, Mozilla Firefox, Apple Safari, etc.
  • Make sure the printer is connected to a wired (Ethernet) or wireless network and has a valid IP address. CWIS or EWS are not supported when using the printer as a local printer via USB.
  • Test network connectivity with a Ping command.
Google Cloud Print

Lately we have had questions about not being able to print on your Xerox printer from Google Cloud Print.  Due to the end of life of Google Cloud Print on December 31, 2020, no updates or changes are coming to the program, so you will need to find a different cloud print application. In the meantime, if you still need to use Google Cloud Print (GCP) here are a couple of tips:

  • If you are having trouble registering your printer with GCP, make sure HTTPS is enabled on your printer.
  • Confirm that you have registered the printer with GCP.
  • Make sure the firmware / software on the printer is up to date with the latest version.  The latest version can be found under the Drivers and Downloads tab on the support site for your model of printer.

What’s Up with the Fault Code 016-426?

Have you have seen fault code 016-426 on the display of your VersaLink printer, WorkCentre 6515 or Phaser 6510 after June 1, 2020? Please read this article for an explanation and for the solution to the code.

Note:  If you have a different model of printer and have seen this fault code, please use Xerox online support to find solutions for your particular model. 

The fault code 016-426 indicates that the printer is no longer communicating with the Xerox servers. If your printer and the Xerox servers do not communicate, your meter reads may not be recorded on time for the billing cycle or your automatic supplies replenishment will not arrive when you need it.   For your convenience it is important to correct this error as soon as possible.

The process takes approximately 10 minutes to complete to restore the capability for your printer to send meter reads, supplies levels and diagnostic information. Articles have been published for the VersaLink family of products, the WorkCentre 6515 and the Phaser 6510 which explain how to create a clone file and reinstall the clone file to your printer.  The articles also list the system software you must have loaded on your printer as a prerequisite. Be sure to keep the security settings “checked” in the list of settings to clone.

Have you checked out the Xerox Support YouTube channel lately?  If not you may be missing out on some informative videos.  There are hundreds of videos on a wide range of subjects, But don’t take my word for it take a look for yourself at Xerox Support YouTube site.

These videos range from overviews of the products and features to cleaning the device and customizing the home screen to scanning configuration. So much information available in a format that will walk you through in approximately 2 ½ minutes.

So who should view these videos? Anyone that owns a printer or multifunction printer, you just might learn something new about a feature or app that you did not know was included on your machine. Find out about an optional feature that you may not have thought you needed but now find that you do. Also anyone interested in getting a new product can find out what is available by viewing one of the “tour” videos. After you view the videos you can explore the printers / multifunction devices on the product pages or on the support website for the individual models. On the product pages, you will find information on the specifications of the machine as well as information on the configurations available and what features you can find on the machines. On the support pages you can explore the user manuals and guides as well as the cases and solutions for the machine.

Before You Restart Your Engines

Ready…Set…Wait! Did you know that long periods of inactivity or improper cleaning of surfaces can wreak havoc on your printer?

COVID-19 has caused many printers to sit idle in less than perfect environments which can cause several issues:

  • Dry Ink may compact or solidify.
  • Paper or media may become damp or damaged which can cause poor image quality and jamming. 
  • Systems that have been turned off for a period of time, once restarted will often have Windows OS software attempting to update in the background. This may cause slow performance issues.

To avoid common problems check out the helpful tips waiting for you on Xerox.com/Support.  When you are ready to start printing again, click on the Restart Your Engines banner and Let’s Go! Various knowledgebase articles outlining the recommended steps to make sure your product performs properly will display. All you need to do is select your product from the menu on the left side, under the Product / Model and your product’s article will surface.   Open it up and follow the steps!

The main steps to ensure proper printer performance are to:

Stabilize the Environment. Make sure the temperature and humidity are within specifications.

Turn on your printer then your Digital Front End if one is present.

Allow the printer to come to ready. Check for messages on the display and follow all prompts.

Replace paper or media that appears damp, wrinkled or damaged.

Test the performance by running a job or two.

Xerox Print Devices and COVID-19

In this time of public health concerns over COVID-19, also known as Coronavirus, we would like to share with you information that we hope will help you keep your environment clean and keep your Printers, Multifunction Devices and Presses working for you.   

Cleaning Xerox Devices

You will find instructions on how to clean your Xerox equipment on the Xerox Print Devices Cleaning Guidance website.  The instructions are also found in the knowledgebase for your printer.  Please read the instructions carefully to keep your machine clean and working for you.

Moving Your Printer

If you need to move the printer, for instance moving it to a home office please search on the word move in the online knowledgebase for your model of machine. Follow the instructions found to safely move the printer.  If you do not find instructions in the knowledgebase please review these tips for moving the smaller printers.

  • Do not tilt or turn it upside down as the inside of the printer may become contaminated with toner, which can cause damage to the printer or adversely affect print quality.
  • Remove any paper or other media from the output tray. If the output tray extension is open, close it.
  • Remove any paper from the paper tray.
  • When moving the printer, do not tilt it more than 10 degrees in any direction. Tilting the printer more than 10 degrees can cause toner spillage.
  • If you are moving the printer over a long distance, remove the drum cartridge and toner cartridge to prevent toner from spilling.

International Women’s Day at Xerox

Sunday March 8, 2020 was International Women’s day.  We do not want to let this important day go by without recognition here in the blog. Xerox has a long-standing culture of diversity and strives to help women succeed in all areas of the company.

A little history, International Women’s Day was first celebrated on March 19, 1911.   The March 19 date was chosen because it commemorated the day that the Prussian king promised to introduce votes for women in 1848. The promise gave hope for equality.  Unfortunately, the promise was not kept.

International Women’s Day was moved to March 8 in 1913. In 1977, the United Nations General Assembly invited member states to proclaim March 8 as the UN Day for Women’s Rights and International Peace. The day aimed to help nations worldwide eliminate discrimination against women. It also focused on helping women gain full and equal participation in global development.

Xerox’s Wilson Rule named after Joseph C. Wilson the first CEO of the modern day Xerox, strives to increase the representation of minorities and women in management and senior-level professional positions. Thanks to Wilson’s vision, diversity became part of our corporate culture.

Default Password

If your old default password of 1111 no longer works, please try the serial number of your printer.  The serial number is on the configuration or setting report for the printer.  You can also find the serial number on a sticker on the printer itself.  To find how to locate the serial number please search on the words serial number in the online support for your machine. 

macOS Catalina

The macOS® Catalina drivers continue to be released.  The Catalina driver for the WorkCentre 3215 / 3225 is now available.  If you do not see it listed please select a different language in the language field on the drivers and downloads page and then change back to the language you need and you should see the driver.  This is a cache issue that we are aware of and working but in the meantime, the changing language tip will work.

Forums

Please remember that another way to seek support is by posting a question or problem on the Xerox Customer Support Forum.  The forum is a peer-to-peer forum.  Some Xerox employees do frequent the boards to answer some questions but most of the answers come from other users of the products.  Also the forum is searchable so you might be able to find an answer to your question or problem simply by searching the forum.

The app gallery continues to expand. Please take a look at the app gallery and see if there is an app available that will make your business processes easier or more efficient.  Check back to the app gallery, new apps are added periodically.
