Scanning Using SMB

Scanning documents using your Xerox multifunction device (MFD) to a server uses the Microsoft Server Message Block (SMB) protocol.  There are several versions of the SMB protocol.  The SMB protocol used for scanning is negotiated between your server and Xerox device. Generally the highest version that both the server and the Xerox device support will be used.  But it is possible to disable lower versions of SMB by configuring the changes on the server.

To find out the currently supported SMB versions for your Xerox device please take a look at the “Xerox Multifunction Device Scan to SMB Support” document.  This document explains the currently supported SMB versions for the scanning features.  The document does not address SMB versions when used for device authentication.

The tables in the document assume the latest available software / firmware for the product.  The document tables will be updated as changes occur to the products.   Below is a video from the Xerox Support channel on YouTube that will walk you through setting up scanning using SMB.

Another source of information about SMB scanning is the case in online support called Tips for Resolving Scan to SMB Issues.  Though this case is found in the ColorQube 8900 the processes are similar from machine model to machine model

If you cannot or do not want to use SMB scanning you can use the File Transfer Protocol (FTP).  Please take a look at these instructions for setting up FTP on Windows 10. Here comes the required legal stuff – these instructions are from an independent site and not endorsed by Xerox, use at your own risk.

Small Business Resource Center: Cards, Calendars, and More

The holidays are here!! So much to do so little time, let the Small Business Resource Center help you out with templates to spread the cheer and get and stay organized into the New Year. With the holidays comes the release of the 2020 Xerox Calendar. I don’t know about you but I find it hard to believe that in about a week it will be Thanksgiving here in the US. Then it is just a short time until Hanukkah, Christmas, Kwanzaa and the New Year. Just in time for all your holiday needs, I wanted to remind you about the free templates that you can print out.

The free templates include the 2020 calendars in different formats, customizable calendars, holiday greeting cards for Christmas, Season’s Greetings, Hanukah, and even a Kwanzaa card.  These cards come in many styles and designs that are customizable to send the message you want to share with your customers, employees, co-workers, friends and family.

Just navigate over to the Small Business Resource Center to find all these great templates and printouts. The new 2020 calendars are already available. This year’s theme is Destination Discovery. The new calendar is vibrant and colorful and comes in several formats. The calendars can make a great gift for your clients and customers and features beautiful pictures.

Not only are calendars available but there are also planners in daily, weekly or monthly format in several designs.  The planners make great gifts or just use them to keep yourself organized.  Other templates include inspirational posters, flyers, business templates, education templates, certificates and so much more. All of these templates can be printed on your Xerox printer or multifunction device.

Peruse the template site and see which items will work for you. The Small Business Resource Center is a wonderful source of documents for all types of business, education and holiday applications for big and small businesses alike. Imagine the possibilities!!

Social Media can keep you up-to-date and informed on all things Xerox.  We are in the age where information travels worldwide at what seems like the speed of light. Social media has “blown up” in the last 16 years with the founding of LinkedIn on May 5, 2003, Facebook on February 4, 2004, the launching of YouTube in February 2005,  the creation of Twitter on March 21, 2006, Instagram was launched on October 6, 2010, just to name a few. Blogging is the granddaddy coming into its own in the early 1990s. Xerox is being proactive in trying to connect to you, our customers, through many different forms of social media that you use and enjoy.

Our goal in using social media is to get information to you as quickly as possible and to keep you in the loop about what is going on in our ever changing business. We have the Xerox Customer Support Community which is a peer to peer forum. Forums date back to 1994 so I guess they are the great-grandfather of social media. The forum is where you, the customers, help each other with answers to questions about our products. The forum community is a helpful support resource available to you 24 hours a day 7 days a week. The community includes a search feature to help you find answers to your questions. You can also tailor subscriptions to posts that you want to follow. Mixing It Up When Copying

Have you ever needed to make a copy of letter size and legal size documents in the same job? Well it can be difficult to do on some machines. But not on your Xerox multifunction printer (MFP). You can easily copy mixed size originals by using the mixed size option on the copy or copy layout tab. Of course the paper sizes must be loaded in the paper trays of the machine.

To copy with mixed size originals select the Copy option and then select Layout Adjustment and then select Original Size. In Original Size you will select the Mixed Sized Original setting. These instructions may vary depending on the model of the machine you are using. As always please consult the support page for your machine for instruction or the user manual which will also have the instructions. Not all machines have the mixed size original capabilities but many do. So check it out for your machine either in the User Manual or at support.

I have included this little video about how to copy mixed size originals. This video is based on a WorkCentre 7830/7835/7845/7855 so your screens and instructions may be different. But the video will give you a good idea of what the feature can do and how easy it is to use.

Remember a video may be available for your machine. You can look to see if there are videos for your machine by going to the support page for your machine and looking for the video tab. If the video tab is there check for a video on Mixed Size Originals.

The mixed size originals feature can save you time and effort.  No more copying each size separately and then having to merge the different sizes together manually.  There are many processes and applications where this feature will come in handy.  Check it out and see if it will work for you and your business.

New Video Playlist at Xerox Support on YouTube

A bunch of new videos have been uploaded to the Xerox Support channel on YouTube.  The videos include several on cleaning your machine.  The videos show a VersaLink B405 but the cleaning processes are the same for most of the Xerox printers and multifunction printers. 

There are also several VersaLink B405 videos on replacing consumables from the toner to the bias transfer rollers and more.  These installation processes are the similar on the VersaLink family.  This is the link for the playlist with the nine new videos. 

A second set of videos was uploaded for the VersaLink C405. Those videos walk you through the downloading and installing of the driver, how to program the different print options from sample prints to secure prints and more.  There are 41 videos in this playlist, it is a comprehensive set of videos that covers processes, features, how tos, etc.  Here is a sample of the videos, this one addresses cleaning the CVT glass.  CVT glass is a common component of the Xerox mutlifunction printers so this video would be applicable to any printer that copies or scans.

Again, these videos can be helpful to you if you have another model of printer other than the VersaLink C405, the concepts are the same from model to model.  Therefore, no matter what printer you have take a look at these playlists if you are looking for help with your printer or multifunction printer, chances are you will find a video to help you. 

While you are at the Xerox Support Channel on YouTube, review the other playlists for subjects or printers that might interest you.  There are hundreds of helpful videos on the channel all easily searched with the search feature in the channel.   To be notified when new videos “drop” subscribe to the Xerox Support Channel and you will get an email to let you know of any new videos.

Moving to Catalina

No this has not turned into a real estate blog, we are talking mac OS 10.15 otherwise known as Catalina.  The mac 10.15 Catalina OS is the newest OS for the Mac and marks the first Apple OS that requires 64-bit apps. The newest operating system for the Apple Mac was released earlier this month, October 2019.    Most of the drivers for the new OS have been released and can be found on the support pages for the printers.  Please check for the drivers before you upgrade your OS to avoid any printing issues from upgrading with no drivers available. 

To find the newest drivers navigate to the Xerox Support and Drivers page for your model.  Make sure to choose the printer configuration you have, if applicable, and then select the Catalina operating system from the Operating System drop down menu. Install the driver. 

You may also see updated scan drivers for your multifunction device. If you utilize scanning, update those drivers as well.  Most of the new drivers will have a date of October 2019.

If you do not see a driver for your machine please consult the compatibility document to see if a driver has been or will be created for the model of printer or multifunction device you use.  Some drivers are still under consideration and will have a number 3 in the compatibility level column of the document. Check back periodically to see if the new driver has been released.

If the compatibility level column indicates a 2 then no driver is planned for that model printer.  Check the Additional Information column of the compatibility document for more information about possible workarounds or limitations of the drivers.  For a printer without a driver and no information in the Additional Information column you can try using a previous version of the driver, for instance the Mojave driver though not recommended or supported. Using an earlier version may not afford you all the features or options for your printer.  

Please consider all your peripherals and there compatibility with the new Catalina OS before you upgrade, it may help you to avoid unnecessary frustration. For additional information, you can also reach out to your local support centre or post a question on the Xerox Community Support Forum.

Xerox ConnectKey Apps for Legal Document Management

Lawyers:  the brunt of many jokes.  They are both feared and loathed.  But, I’ll tell you what.  I wouldn’t want their job.

Not only do they have to spend their days “translating” legalese so that their clients can understand them, but, according to LexisNexis, 77% of legal professionals say they’re overwhelmed by information.  Who could blame them?  So many clients.  So many matters.  So many documents per matter.

Thankfully for them, there are some great options to help them with their document management needs.  For example, in the SMB space, Clio is the industry-leading legal practice management cloud service.  For larger law offices or corporate legal departments, iManage leads the pack for document management.  But, how do they get those hardcopy documents they receive during “discovery” into these systems?  With Xerox ConnectKey apps and ConnectKey-enabled multifunction devices, of course!

Xerox now offers the Xerox Connect App for Clio and the Xerox Connect App for iManage via the Xerox App Gallery.  While both apps allow the user to log into their Clio or iManage accounts and scan documents directly into client and/or matter folders, they also allow for searching, previewing, and printing of documents already stored in those repositories right from within the app.

Another concern shared by small law firms is that up to 5.6 hours of billable work daily are not charged back to their customers.  To help them, the Xerox Connect App for Clio has an Expense Tracking feature that allows the user to record reimbursable scanning and printing fees, a unique feature on the marketplace.

Eeny Meeny Miny Print – PostScript or PCL

Last week we talked about the Global Driver, today let’s look at printer languages and which one might be best for your print jobs. We get many questions about the differences between PostScript and PCL drivers so let’s take a look at these two types of drivers. Most of the Xerox printers and multifunction printers can use either the PostScript or PCL driver.  Please be aware that the PostScript function may be an optional feature on some printers. The PostScript feature would need to be purchased and installed prior to using a PostScript driver. You might find this post informative and helpful in deciding which driver is best for you and your business. This article is taken straight from a case in our online support.

Printer Control Language

NOTE: PCL is a trademark of the Hewlett-Packard Company.

Printer Control Language, or PCL, is a common printing language used widely by many different printer manufacturers. PCL is supported by many different operating systems which allows for the same printer to work in many different environments.

PCL is device dependent. This means that the drivers for this language utilize the printer hardware for creating some of the printed data, usually graphics data such as fill areas, underlines or fonts. This allows the computer to process the print job quickly and efficiently. The printer is then responsible to complete the creation and processing of page data. Individual printers may perform these tasks differently giving you a slightly different output.

Pros:

  • Fast print processing.
  • Widely supported in many different operating system platforms.

Cons:

  • The same print job on two different printers may vary slightly.
  • Quality of graphics is dependent on the print device.
  • Not supported in most Macintosh environments.

PostScript

PostScript language, or PS, is a common printing language also used widely by many different printer manufacturers. It is used heavily in Macintosh platforms and for graphic applications in several platforms. It is a device-independent page description language developed by Adobe, which is used to print and display pictures and text. PostScript 3 and newer includes many enhancements to older versions of PostScript, including improved image quality and color.

Unlike PCL, PostScript is device independent. This means that the PostScript language creates all of the print data and does not rely on the printer for print data. This allow the output to be consistent when printed on more than one type of printer or print device. Specifically, the graphic objects will be consistent and in some cases of higher quality than PCL.

Pros:

  • Graphical objects are often more detailed.
  • The same print file should print identically on two or more different print devices. (This most beneficial when used for printing drafts on one printer then sending out to a printing company for production.)

Cons:

  • Print processing can be slow.
  • Not found in as many platforms as PCL.
  • Print file and memory requirements are larger.

NOTE: PPD (PostScript Printer Description file) is a file containing information about a particular PostScript print device’s capabilities and restrictions. The information in the PPD is presented via the printer driver.

There you have it, the explanation of the PS and PCL printer languages.  Now you can make an informed decision about which driver and print language is best for you and your business. Download the current version of your driver from the support page for your machine.
