Microsoft Windows 11 and Xerox Printers

Microsoft Windows 11 is rolling out.  You may have some questions about how to set up or install the print drivers for your Xerox equipment on this new OS. We want to make sure you have all the new information on your printers and drivers and the new Microsoft Windows 11 operating system.

An exceptional resource about the types of drivers compatible with the Windows 11 operating system is the Xerox® Product Compatibility – Windows 11. This document shows you which Xerox printers or multifunction devices are compatible with Windows 11. There is a brief explanation of the different types of drivers at the beginning of the document. Note that the Global Printer Driver is compatible with Windows 11. The compatibility document is helpful, consider bookmarking it so that you can easily return to it when or if you update to Windows 11.

Little has changed about the printer interface and installation from Windows 10 to Windows 11. There are instructions for installing printer drivers in the release notes for the driver for your machine. The support pages also provide you with instructions for installing and configuring the drivers on your specific device.

The rollout of Windows 11 will continue into 2022. Windows 10 is expected to be supported by Microsoft until sometime in late 2025.  Below are some additional resources that you may find helpful as you transition to the new OS.

It is almost Thanksgiving Day here in the US. It is that time of the year again. Time for holiday traditions, good food, the occasional cooking disaster that is fodder for future hilarious stories. Spending quality time with family and friends watching football and going shopping. We at Xerox Support wish you and yours a Happy Thanksgiving Day and hope that you have a great time, however you choose to celebrate the holiday. Enjoy the time off and take time to remember the things for which you are thankful.

Helping Others on the Xerox Customer Support Forum

We are in the season where our thoughts turn to helping others.  Helping not only provides something that someone else needs, it also makes us feel good. And who doesn’t need that? We have a great opportunity for you to help others now and throughout the year.  By participating in the Xerox Customer Support Forum (XCSF), a peer-to-peer forum, you can help others and yourself. It’s users of printers helping other users.  Let’s face it you, the operators of the printers, know the most about how the printer works in your business.  You have seen issues and learned how to fix them.  Share that knowledge with others! 

The more you participate in the XCSF the more stars you will earn. As you earn stars your title in the forum, which displays under your name, will change as you supply more quality information. Valued Advisor is the top rank and makes you a Superuser. The community values Superusers that help with responses and provide solutions. You can look at the ranking table in the Forum Ranking article in the Welcome Section of the forum boards.

Xerox Genuine Supplies are the Economical Choice

Xerox genuine toner vs. bargain brand toner – Why does it matter? Toner is the lifeblood of your Xerox printer or multifunction printer. Without toner, you have a large scanner or paperweight. Obviously, we recommend that you use genuine Xerox toner in your machines. You might be tempted to use a bargain toner, but I would like to caution you against trying the bargain brands. In the case of toner, you really do get what you pay for. In the long run bargain toner can end up costing you more by causing problems with the printer and causing you large replacement or repair bills. The quality of your prints may be affected, and you could lose valuable business because of poor quality output.

Look at the following video comparing genuine toner cartridges vs bargain toner cartridges.

The bargain toner cartridges were found to not yield the amount of prints advertised, fail more often, cause poor image quality, and cause expensive damage to the printer itself. The question becomes what is the true cost of bargain toners? Potentially much more than just the list price. Consider this before you are dazzled by a low list price. Please take a look at the Verify Your Xerox Supplies Are 100% Genuine website. On the site you will find the ways to identify if your supplies are genuine. There is also information regarding reporting potentially counterfeit toner products. Look at this short video that will show you how to tell if your Xerox supplies are genuine.

Time Matters to Xerox Printers, Check Those Clocks

Time matters to Xerox printers and multifunction devices. Standard time is coming back this weekend. If you live and or work in Hawaii, Arizona, Puerto Rico, and all US Territories including Guam and US Virgin Islands you can stop reading now. For you in Canada if you are in the Yukon, parts of Saskatchewan and most of British Columbia you can stop reading as well.  The rest of you we get to fall back to standard time and get an extra hour of sleep.

To see if you or business locations you work with are in an area making the change back to standard time take a look at the Time and Date website. It is important to remember to change your clocks back one hour at 2 a.m. on Sunday Nov. 7, 2021. You don’t have to do it at exactly 2 a.m. but just make sure you change the time. If you don’t you will be early to your appointments or events on Sunday.

After you change your clocks, check the clock(s) on your Xerox Products. Make sure they are set for the correct time. If the device time is not set correctly it can cause confusion. Times may be incorrect on faxes, activity reports, banner pages and other time sensitive reports and activities. It is possible that printing will not work. If the printer is connected to a network and the printer and your network are not set for the same time it may not print. Time matters.

Many of the printers and multifunction printers have the Network Time Protocol (NTP) or Simple Network Time Protocol (SNTP) feature. This feature synchronizes the internal clock of the Xerox device over a network connection. SNTP or NTP must be enabled and configured at the device for this automatic feature to work.  For instructions on enabling SNTP or NTP if available on your device, navigate to the support pages for your device(s) and search on “NTP”.  The search will bring you articles and step by step solutions for how to enable SNTP or NTP if applicable to your device.

You can also search on “Daylight” in the online support for your printer to learn how to set the Daylight Savings Time option, if your machine includes the feature. With the daylight savings option you can toggle the option on or off. If you choose Off the time will not change automatically for daylight savings time and standard time. The time will need to be changed manually. If you toggle it On the printer will adjust for daylight savings time and standard time automatically at the correct date and time.

Whatever method you choose please check on your printer or multifunction device on Monday November 8th. Check the time and make sure it went back to the past one hour with us.

Change those clocks, replace the batteries in the smoke detectors and carbon monoxide monitors. Enjoy your extra hour if there is any of it left!

Xerographic Technology and Color

This Friday, October 22 xerographic technology and color share a day. Friday is National Color Day and the anniversary of the day the first xerographic image was produced, and xerography began. Without that special day, the Xerox printer or multifunction device you use would probably not exist. It is amazing to think how far the xerographic technology has come in 83 years.

Xerographic Technology

On October 22, 1938, Chester Carlson, a patent attorney, and part-time inventor made the first xerographic image. The first image was a handwritten note that simply read “10-22-38 ASTORIA” (see picture). The copy is preserved in the Smithsonian Institution. If Carlson were still alive, he might be surprised to learn his invention began an information revolution that has continued to this day, making information readily available and expanding the world’s total knowledge. According to Megatrends in Digital Printing Applications, over 8.5 trillion letter-size simplex pages are printed annually in North America on products fathered by Carlson’s invention.

National Color Day

Carlson would also be surprised at how much color is used in business prints these days. National Color Day is a day to appreciate the natural colors of the world and to learn how colors influence our mood, productivity and behavior. Color has the power to affect our state of mind, draw attention, and even cause alarm

Using color in business can dramatically improve communication, enhance productivity, and boost sales. Studies show that color can:

Color has become increasingly affordable and easier to control so there has been an ever-increasing use of color in printed material. Xerox provides many printers and multifunction printers that support color printing. Xerox also offers our Confident Color tools to provide the best possible color.

In celebration of Mr. Carlson’s xerographic breakthrough and National Color Day, print something out using a little color. Notice as you go through your normal workday, how color and xerography help you and your business every day.

Envelope Printing – Envelope Tray or Not

We receive questions about printing envelopes so frequently. With the holidays around the corner, it is a good time to address envelope printing. Did you see what I did there? Address envelope printing, funny because you address envelopes – never mind if you must explain the joke it is just not as funny.

Did you know that some of the Xerox printers and multifunction printers have an optional envelope tray available?  The envelope tray is an optional feature and there may be an additional charge for this option.  If you print many envelopes, it might be worth the investment to have the envelope tray.  The video will show just how easy it is to install the envelope tray if it is available for your printer.  

If there is not an optional envelope tray, then the envelopes should likely be loaded in the bypass tray. Please check the instructions for printing envelopes that can be found in the online support for your specific printer model by searching on the word ‘envelope’.  Let’s look at some things to remember when printing on envelopes.  These guidelines are from the online knowledgebase. 

Guidelines for Printing Envelopes:

  • Use only paper envelopes.
  • Do not use envelopes with windows or metal clasps.
  • Print quality depends on the quality and construction of the envelopes. If you do not get the desired results, try another envelope brand.
  • Maintain constant temperatures and relative humidity.
  • Store unused envelopes in their packaging to avoid excess moisture and dryness which can affect print quality and cause wrinkling. Excessive moisture can cause the envelopes to seal before or during printing.
  • Remove air bubbles from the envelopes before loading them into the tray by setting a heavy book or object on top of them.
  • In the print driver software, select Envelopes as the paper type.
  • Do not use padded envelopes. Use envelopes that lie flat on a surface.
  • Do not use envelopes with heat-activated glue.
  • Do not use envelopes with press and seal flaps.

Please search in the online support for your machine on how to load the envelopes in the machine. If you are using expensive envelopes, I would suggest doing a test print to be sure you have everything set properly and the envelopes loaded correctly, and in the proper orientation.

You can get envelopes or labels to print on your Xerox printer or multifunction printer but sometimes you just must test it first and adjust from that test print. The point is with the correct set-up you can indeed print envelopes on your Xerox printer.  If you need additional support, contact your local support center or post your question on the Xerox Customer Support Forum

Too long; didn’t read (TL;DR)? Not anymore.

Too long; didn’t read? We’ve all been there.  You get that report or article and say to yourself: “No time. I’ll get to this later.”  In today’s world where content is coming at us from every direction, sometimes we just can’t get to reading everything we should or must.  Who has the time?  Just give me the “Reader’s Digest version”! 

What if you could take that document you received, scan it into your ConnectKey-enabled Xerox VersaLink or AltaLink device, and have it reduced to a more-easily digestible summary? 

Yep.  There’s an App for that! 

Xerox recently launched the Xerox Summarizer App that can help you free up some time, while still getting the salient points of a document.  Using AI from our partner, SummarizeBot, the app provides two types of summarization:  Extractive, to reduce the size of the document by extracting the key sentences, and Abstractive, which provides a concise interpretation of the original.  Abstractive Summarization generally reads better and may actually contain words that aren’t in the original, whereas Extractive Summarization only includes sentences found in the original.  And, whereas Extractive is available for practically every language out there, Abstractive is limited to English only.  You pick!

If you pick Extractive, then you have a few other options to consider.  What size do you want the summary to be?  We support anywhere from 5%-90% of the original.  Not sure what will work for you?  No worries!  The app gives you a quick preview and the option to rapidly view the results at other percentages.

Extractive summaries for documents in standard European Union languages (including English) can also be optimized to focus on the “domain” (or category) of document you are working on.

Got what you want?  The results can now be printed and/or emailed (with an option to include the original).

Print Quality – Dots, Lines, Voids, Density, and Bands

Print quality issues happen but determining the problem will take a little detective work on your part

The first step is to print an internal report, such as the settings or configuration report.  If the report shows no defect or error, then the problem may be with the original file or document. Try printing a different document from a different program. If the problem persists or the same print defect appears on the internal report then our investigation continues. 

Let’s look at the common print quality defects and the possible resolutions.

Print Quality Issue

  • Spots, dots
  • Lines horizontal
  • Lines vertical
  • Background or ghost image
  • Voids or blank spaces in the image
  • Smears

Possible Resolutions

  • Make sure paper is within specifications
  • Paper should be in good condition and not damp from excessive humidity.
  • Program paper properly in the tray, driver, and document.
  • Clean the components that influence print quality issues such as laser windows or printhead lens for example.
  • Print image quality page or repeating defects page if available.
  • Ensure all latches and levers are in the locked position.

The resolutions list is by no means complete.  Please look up information on the print quality issues on the online support for your machine.

There are several components to look for on image issues. Knowing these components can help narrow the potential issue. Before you search for solutions online or call for support see if the issues are happening on some or all prints, what direction the defect occurs, and if it is at a regular interval.

Most issues can be solved without having to call a technician. The support page for your printer or multifunction device is the place to start investigating your image quality issues. You may be able to clear up the issue yourself saving time, frustration and possibly money.
