Reset My Username and Password on Xerox Printers

We receive many questions about the username and password on Xerox printers and multifunction machines. The username and password give you administrator access to the machine and to the CentreWare Internet Services (CWIS) for the printers. The username and password can help to safeguard your machine from unwanted settings changes. The optimum scenario would be for one person to be the administrator of the machine. That person would have the responsibility to make any setting or set-up changes to the machine. We usually refer to that person as the machine administrator. The machine administrator would be the person to change the username and/or password to protect the machine from unwanted changes. Once the username and/or password are changed from the defaults, which is highly recommended, the username and/or password cannot be reset without a call to support and potentially a visit from a technician depending on the model of the machine.

Due to security reasons and complexity we cannot post or give instructions for resetting the username and /or password back to the defaults in the online support or on the community support forums. Can you find these processes out on the internet? Possibly but please understand that the process is not for users because it potentially puts the user in an area of the machine where mistakes could cause the machine to become unusable if the correct steps are not followed. It also removes a layer of security if everyone knows or learns how to reset the username and / or password.

So why am I telling you all of this? I am telling you this because it is important that if the username and / or password is changed please remember it or note the new values somewhere away from the machine. It might be wise to have at least 2 people know this information in case one of them is not available and an issue comes up where the username and password would be required.

Please take a look at this video that shows how to change the password on the VersaLink printers.

Should you choose not to change the defaults you can find the default username and password on the support page for your machine. Simply navigate to the Support & Drivers page enter your model number in the space provided and then search on the words default password.  Please carefully consider changing the username and password on your printer and please remember the new values. It may seem like a small thing but it is another tool in the security toolbox!!

    My laboratory has a Workcentre 5022 printer. The problem I have is accessing the CentreWare Services. I was able to access them for a while and made changes for a few parameters, but did not attempt to change the default username and password. However, at one point the system stopped recognizing them, and I don’t have access anymore. This was many months ago, and nothing I tried worked. The retailer who sold us the printer did not answer our calls, and may not exist anymore. What can we do?

      Thank you for reading the At Your Service blog. If the defaults of username “admin” and password of “1111” no longer work then you would need to contact your local support centre, a technician may be required to change the values back to the defaults.

        We just purchased a new Versalink 405B, pulled it out of the box, and tried getting into admin account using S/N and 1111 nether working.
        Spoke to tech support and tried reset from the console, does not work! Tried power off, unplugged etc… still cannot get into admin.
        Keep in mind this was received today 03/04/20 and right out of the box! Called tech support, we can send a tech out to reset but we will charge you $300. HA!
        I have been in IT for over 30 years, setting up secure systems and cracking admin accounts has been an issue for years. Xerox using the marketing BS that for security purposes we cannot show you how to reset an admin account on a system that you purchased from Xerox is pure BS. I manage Windows, Linux servers and have all kinds of certifications and you are telling me that the HS tech you are going to send out is more capable? Only because he/she has the info on the process!

        There are many whitepapers that Xerox and others provide that help secure MFP’s that may store data, which if you are an admin typically do not store data on the MFP? Anyway, it just seems ludacris that a brand new printer that seems to functions fully needs a tech sent out for $300 to reset a password?

        One more question: The printer is on line using DHCP, which is what I am trying to change through admin account. Anyway if the printer is online at a minimum I should be able to call tech support and have them reset the password? Without an onsite tech changing $300? If Xerox can read my printers counters to tell me when I need supplies you can shrilly write code to reset a password right?

It will depend on the software/firmware you have loaded on the printer as to whether or not you can reset the password. Please take a look at the solution for resetting the printer to defaults. There is a note about the password reset towards the end of the solution. If you still have questions please consider contacting your local support centre.

      Thanks for reading the blog. I do not understand what you are asking and I tried a translator program and the translation came up as “what is my machine”. I can not help you with that, I have no way to look up what machine you have. Please contact your local support centre.

    I have a Xerox Workcenter 3215 that I forgot the password that I set on it. I called Xerox Tech Support, the person referred to one the Xerox Corporate Office to help me reset the password. When I got there the person that I talked to was shocked and he told me this a Corporate Office and we do not do service here. Reset a forgot password should be something that be available for consumer. I googled and searched on Youtube, there is no info. I am not happy about it. Is anyone know a service center in Boston Ma area. I was referred to the corporate Office In Canton MA, which is about 15 minutes from house. Or I just need a how to document to reset the password. Thanks~

      Thank you for reading the blog. The default user name is ‘11111’. The default password is ‘x-admin’ and must be entered in lower case letters. If the username or password has been modified or forgotten, contact your System Administrator.

    Xerox Versalink C405; customer has lost the admin password and i have seen a couple of ways to reset it but the instructions are not clear. it says to

    Open the RESET.PJL file to enter the 12 Digit reset code.

    For Windows 7

    Go to ‘Start’ ’All Programs’ ’Accessories’ ’Notepad’
    Or

    For Windows 8 & 10

    In Search window (next to the Start button or symbol), type ‘Notepad’; select ‘Notepad’.
    Then drag the RESET.PJL file into the Notepad window that you just open.

    Enter the 12 digit reset code, replace the “XXXXXXXXXXXX” with the actual code. Then save this file to your desktop.

    what is a RESET.PJL file and where is it? then it asks you to run the DirectPrint Utility tool where do you get that tool?

    They have evidently changed it to the Serial # of the machine all in upper case. I just called on a WorkCentre 6515

    I have a WorkCentre 6515 DNI. The password has never been reset.
    I purchased this printer as a new unit from B&H.
    I have tried 1111, 11111, and many versions of the serial number.
    I have not been able to get past the login screen.
    There is no way, that I have been able to find, for me to re-insert the
    address of my wifi router, without having admin privileges.
    Is it just me, or does it seem very strange that Xerox ships this product with
    no mention anywhere in the accompanying documents of what the password is.
    I do not understand the idea here.

      Thank you for reading the blog. Please see the steps for logging into the control panel as the administrator. If these steps using the defaults does not work then you would need to have service reset the machine. If the machine is new it should be covered under a warranty. If this does not help please consider contacting your local support centre.

    New WorkCentre, never been reset. No passwords I have tried have worked.
    “1111”, no.
    “11111”, no.
    Serial number, case sensitive, no.
    I do not understand why Xerox ships a unit with NO MENTION of the password in the
    accompanying documentation. The seller, B&H, did not have a method that worked.
    I am essentially out of time trying to get access to my own product – I will replace it
    if I can’t get into the admin area very soon. Sorry Xerox, I guess you tried.
    I will be grateful for any help that works, but I am nonetheless…
    Disappointed in this product already.
