Xerox® AltaLink®Address Books

Let’s talk address books on the Xerox AltaLink products. There are different types of address books on the AltaLink. From an overview of the AltaLink Address Book case in the knowledgebase online here is some important information.

Address Book Overview

An address book is a list of individual contacts, each associated with an email address, fax number, or scan destination. You can configure the printer to use a Network Address Book or the Device Address Book for email or Internet fax. The Network Address Book looks up addresses from an LDAP directory. If you do not have an LDAP server, you can use the Device Address Book. If you configure both address books, users are presented with a choice to use either address book at the control panel.

Device Address Book

The Device Address Book is an address book that is stored on the device locally. You can configure the printer to use the Device Address Book instead of a Network Address Book. You can add contacts manually, import directly from emails that are sent to or from the device, or import them from a .csv file.

Network Address Book

The Network Address Book looks up addresses from an LDAP directory. If you do not have an LDAP server, you can use the Device Address Book.

Sometimes when entering the addresses into the address book from the Embedded Web Service (EWS) it will take some time for the entries to show up on the control panel. To have them show up without delay either program them at the machine or if you do use the Embedded Web Service reboot the printer and the addresses will show up at the printer. You may also try refreshing the machine by using the reset button. Using Software Resets to restart the device is faster and wastes fewer consumables than powering the device off and on. Restarting the device from a power off, power on can take up to five minutes.

  1. Login as System Administrator at the control panel.
  2. Touch Device, then touch Tools.
  3. Touch Troubleshooting.
  4. Touch Resets.
  5. Touch Software Resets.
  6. For Reset Options, select the type of reset that you want.
    • All Software
    • Network Software
    • Copy Software
  7. Touch Restart.

    What about multiple address lists on the device? I only see the ability to have “favorites” and “everyone”.

    It would be nice to be able to have multiple address lists with customizable labels like “favorites”, “internal”, “offsite” and “external”. Our old Ricoh copier had 5 or 6 numbered lists that we could put contacts in. One number was for “internal” addresses, another was for “external” addresses.

    Is there someway to go online to do my address book on my Xerox copier?
